Maximising Your Mobile Telecoms Budget: Strategies for Reducing Unnecessary Investments in Mobile

Action Point 1: Gaining Visibility & Control of Mobile

Most CIOs and IT teams simply don’t have a detailed understanding of how corporate mobile phones are used in their organisation. They see users walking around with two phones, they suspect that there’s wastage, and they know there’s probably room to improve things, but often they don’t have the time, resources, raw data or insights to justify looking further. 

Understanding how the use of corporate issued smartphones has changed since Covid-19 is critical to developing an effective mobile strategy and to gaining control of your mobile investments and budget. For example, did you know that typically 10-15% of users, simply never use their corporate issued smartphone? What’s more it’s not uncommon to see that 40% or more of users no longer make traditional mobile phone calls on their work smartphone. What are the stats in your business? 

These types of insights can help to shape a future mobile strategy and guide CIOs on whether corporate devices are right for all current users, and help to establish whether there’s a real benefit being delivered. With such data, CIOs risk simply throwing good money after bad on increasingly more expensive mobile devices.

Action Point 2: Managing Personal BYOD Devices & Security

One aspect of getting the right mobile strategy in place is to re-think the role of BYOD in your organisation. BYOD is an emotive subject, some see no point in providing corporate devices, some love Android and hate Apple, some want to fully separate work and personal lives and insist on separate devices. There is no right answer, just simply finding the right balance for your organisation. With recent enhancements via products like Microsoft Mobile Application Management (MAM) it’s ow possible to enable BYOD users to access certain data and apps (like email), without the need to fully enrol or manage personal devices in MDM platforms.

Action Point 4: Strategic Mobile Cost Management & Procurement

The truth is that many large organisations commence the renegotiation of their mobile phone agreements or go to market without really considering the points raised above. In some cases procurement lead negotiations without any material dialogue with IT. In most cases, these procurement exercises lead to a few outcomes. From a positive perspective the organisation is likely to see a reduction in the headline tariffs and charges, and they might also achieve an increase in data allowances. For most this is viewed as a positive result and job well done. Unfortunately in most instances this approach leads to unintended consequences. These range from locking in connections and services that may simply not be aligned to user needs, the creation of new spend or term commitments that prevent the proactive management of connections and usage or simply the resigning on tariffs and terms that can’t easily adapt to material future changes. 

The procurement of mobile services is a critical activity; however it is one that comes after CIOs have clear visibility of their estate, and after the business has optimised that estate and created a clear mobile strategy that can be factored into the negotiation of new terms and contracts. Those organisations that fast track to procurement as the path for securing mobile cost savings are unfortunately invariably the ones that fail to retina those savings over the term of the agreement, or find themselves conflicted when the future mobile strategy starts to become clear, but they find themselves locked into a contract that is not longer fit for purpose.

Action Point 5: Sustainability, Re-Use and Recycling of Smartphones

It’s estimated that only 1 in 5 corporate smartphones is recycled effectively and even fewer are traded-in or recycled within 6 months of being upgraded or becoming unused. This leads to unnecessary spend on new devices, prevents the effective refurbishment and re-use of returned devices and it increases the carbon footprint of IT.
